This Privacy Policy governs the collection, processing, and protection of personal data within the HR Management System (“Platform”), developed and operated by BYDO TECHNOLOGIES PRIVATE LIMITED (“Company”). By using this Platform, users consent to the processing of their information in accordance with this policy.

2.1 Personal Data Collected

• Employee Data: Name, email, phone number, address, date of birth, Aadhaar last 4 digits, emergency contact details, employment history, job title, and department.
• Payroll & Financial Data: Salary details, bank account number (masked), tax information (PAN), and payment records.
• Attendance & Performance Data: Attendance logs, leave records, performance appraisals, goals, and achievements.
• Device & Access Data: IP address, browser information, device details, and system activity logs.

3.1 Data Hosting

All data is securely hosted on OVH Canada and AWS S3 servers with data redundancy and encrypted backups.

3.2 Security Measures

• AES-256 encryption for data at rest and TLS for data in transit.
• Role-based access control (RBAC) and multi-factor authentication (MFA).
• Activity logging and regular security audits.

The Company does not sell or share personal data with advertisers or unrelated third parties. Limited sharing occurs with trusted payroll or compliance partners under strict data agreements.

This policy complies with the DPDP Act, IT Act, and other applicable employment and data protection laws in India.

Employee data is retained for up to 90 days after termination of employment or client contract, after which it is securely deleted. Requests for deletion may be made at [email protected].

Employees and administrators have the right to access, review, correct, or delete their personal data where applicable.

In the event of unauthorized access or a data breach causing potential harm, affected users will be promptly notified.
